The Role:To deliver effective comprehensive secretarial and administrative support to groups of internal clients. In this role, an individual will begin to be proactive in planning and organising own workload with limited supervision or guidance and have a good working knowledge of the firm and its business. Responsibilities * Receive, record, file and/or distribute correspondence appropriately. * Prepare and format documents as requested according to established company standards and branding guidelines. * Identify and assign complex documents to the document production team. * Take ownership of basic enquiries (whether by phone or email) resolving, escalating or identifying alternative contacts as appropriate. * Update diary arrangements in line with requests, disseminating the information as necessary, to ensure the diary is accurate and up to date. * Coordinate various arrangements on request (such as travel, meetings) to ensure all related bookings/paperwork are completed and communicated. * Begin to anticipate and organise documents on a more frequent and proactive basis e. g. papers for meetings and travel requirements such as currency and tickets. * Review and agree workload on a weekly or more infrequent basis as appropriate. * Provide cover as appropriate, working collaboratively with other team members. * Use the firms systems for raising bills and completing basic expense claims * Actively share knowledge with others. * Exercise confidentiality, discretion and personal sensitivity in all aspects of role. * Compliance withthe companies policies &amp; procedures in all aspects of role. * Ensure deadlines are met through management of own time. * Consistently demonstrate a willingness to own/tackle problems as they arise and ability to identify issues for upward referral.
